Hybrid events …

… ensure reach and participants

Compared to face-to-face events, virtual events have a greater reach (Statista, 2021). The online option allows interested parties from different geographical regions or with time constraints to take part in the event.

… contribute to cost savings and increased efficiency

Hybrid events can significantly reduce travel, accommodation and catering costs. According to a survey by the Global Business Travel Association (GBTA, 2020), 84% of business travelers stated that virtual meetings are a cost-effective alternative.

… create flexibility and adaptability

Unforeseen events (weather, crises, strikes, etc.) can have a negative impact on face-to-face events. Events that also offer online participation can react flexibly and quickly to current situations. According to a survey by PCMA Convene, 87% of event planners stated that flexibility and adaptability are crucial factors for the success of events.

Your path to a hybrid event

Hybrid events offer participants the freedom to decide whether they want to experience the event on site or digitally.

Participants always in focus

As an organizer, you can invite potential customers to attend your event in person, but that doesn’t mean they will.

They may lack the necessary time and financial resources:

  • they are reluctant to spend time traveling to and from work,
  • do not want to put up with traffic jams on the roads, train and flight delays or even weather-related delays,
  • they do not know how to make up the lost working time or
  • have a tight and tightly planned budget for travel costs, accommodation and participation fees.

However, your target group may find the day’s program too extensive and only want to take part in a specific workshop or listen to a selected presentation.

Not to be underestimated is the willingness to spontaneously participate in an event because, for example, a previously scheduled meeting has been canceled and a suitable time slot is available at short notice.

With a hybrid event, you give your target group every opportunity to participate. At the same time, you expand your reach and gain new, previously unknown prospects.

It is important that you offer all participants the same service right from the start. For example, both on-site participants and all digital participants receive the same documents before and during the event. Just think of updated procedures, participant lists or additional information on speakers and their contributions.

Offering a hybrid event creates reach. Tools for interaction promote the exchange of ideas between all participants.

Place value on a good event platform

There are usually several weeks between registering for a hybrid event and the event itself. A period in which the agenda of your participants can change considerably.

The use of a hybrid event platform not only makes it much easier to manage registrations. Since they also record participants who are present on site at the time of the event, they also have access to the event platform through which the digital participants are present. This enables an interactive exchange between the speaker on site, the presence audience and the digital audience. In this way, your event becomes more interactive and gains additional quality for each participant.

One possible platform is HOPIN or EVENTMOBI, for example. We will be happy to advise you here.

As always, the same applies to hybrid events: form follows function. Not everything that is possible has to be done. But it’s good to know what’s possible.

Choose a suitable partner for your hybrid event

Did you have any doubts in the past about which sessions you would offer online and which were reserved for the participants of your event? If you treat all participants equally and use the right platform, this question will be a thing of the past.

At a hybrid event, we control all the technology centrally. No matter whether it’s sound, lighting or cameras, the operation of presentations or the connection of speakers or moderators in image and sound. We summarize and keep an eye on all channels.

Hybrid events always require customized audiovisual support. The name Streamboxstudios also stands for this. Thanks to modular production sets, we can adapt to individual requirements and produce cost-effectively.

We use the infrastructure available in congress centers or conference venues, such as fast Internet connections or networks for transmitting data-intensive applications.

If your event location is idyllic and remote, then we can certainly realize a hybrid event here too. The only requirement: the event location must be in a radio cell of the major network operators.

To ensure that your event is professionally staged, Streamboxstudios provides you with all the relevant services from a single source: concept, design, sound, camera, lighting and streaming technology.

Digital visibility makes it possible to understand customers better and address them in a more targeted manner.

Use your data sensibly even after your conference

Memories of some inspiring speakers often remain after an event. With a bit of luck, you can add a few nice photos and a list of participants with the contact details of your new prospects.

With hybrid events, you have much more at your disposal. For example, you know exactly who took part in which sessions, have an overview of what the participants shared via chat and can see which event was particularly attractive.

This information enables you to build a much more targeted relationship with your participants afterwards. Or, of course, to make the next edition an even greater success.

Last but not least: As we are happy to record all workshops or lectures for you, you can use the resulting videos to expand your digital offering (YouTube channel, website, etc.), create teasers for future events or even create a video-on-demand.

We will be happy to answer your questions about hybrid events.

Realizing hybrid events creatively

Successful companies are often characterized by several factors. Digital visibility plays a central role here.

The advantages are obvious

Hybrid events give participants the opportunity to take part either in person on site or virtually. Hybrid events create cost-effective reach, can be designed flexibly and are characterized by easy accessibility. They enable a versatile and adaptable event experience that meets the different needs and expectations of participants.

  • Flexibility and accessibility: Participants can take part in the event without having to spend an extraordinary amount of time and money.
  • Real-time interaction: Hybrid events enable interaction in real time. Viewers, both on site and digitally, can ask questions, make comments and actively participate in the event.
  • Diversify event formats: Hybrid events gain variety and appeal through different formats: interviews, presentations, discussions and Q&A sessions.
  • Global reach: With a hybrid event, you can reach a broad, potentially global audience. People from different parts of the world can follow your event live, regardless of their location.
  • Topicality and authenticity: Hybrid events convey a feeling of topicality and authenticity. With a hybrid event, you can react spontaneously to current events and establish an authentic connection with your audience.
  • Cost efficiency: Organizing a hybrid event is more cost-efficient than an exclusively face-to-face event. Travel costs for participants and organizers can be reduced. At the same time, a larger group of digital participants can increase the yield.
  • Sustainability: If fewer participants travel to the event, the ecological footprint of the event is also reduced.
  • Improved interaction: By using innovative tools, hybrid events offer a wide range of opportunities for interaction.
  • Availability of content: Virtual elements of a hybrid event can be recorded and made available as video-on-demand.
  • Adaptability: Hybrid events offer flexibility in the event of changing circumstances, such as unforeseen events (weather conditions, strikes, etc.). They make it possible to switch quickly from a physical to a virtual event.
  • Measurability and analytics: Platforms for hybrid events often offer extensive analysis tools. Viewer numbers, interactions and other metrics can be called up. This allows you to measure the success of your event and optimize future livestreams.
  • Monetization opportunities: Hybrid events offer various opportunities for monetization, such as paid access to premium content, donations or sponsorship.
  • Video-on-demand: Make your hybrid event available as recordings in parts or in full. This opens up additional opportunities for you to distribute your content.
